Absent: Bill Aitken (excused), Ted Cronbaugh

Guests Present: Bill Wade-District Convener, Nancy Barbee-OPUS, Brent Johnson-Registrar /Exam Coordinator, Rene Zajner-Social Media/Website/Photographer.

Call to Order: Dean Mark Scholtz called the meeting to order at 5:33 pm.

Review of the Minutes: Minutes of the August 31st meeting minutes were unanimously approved with revision of the name “John B” to John V and clarification that he is connected to the Quimby competition.  Motion to approve made by John and seconded by Mike.

Treasurer’s Report: Cash balance is still $36,497.72.  No change from the last report. Motion to approve made by Burnell and seconded by Nannette. Unanimously approved.

Dean’s Report: The Procedures Committee continues to work on revisions to the Chapter Operating Procedures to bring them in-line with National. They will meet again in October.

Sub-Dean Report: Tonight’s program will be shorter due to withdrawal from Ryan.

Registrar’s Report: We have 139 active members with 6 unrenewed. The extra notification of the September 1st deadline helped to get the additional responses.

OPUS Newsletter: Deadline for the January OPUS will be earlier than December 15th.

Social Media: Rene discussed the social media statistics and how he is using that information to create more outreach and connections for others to discover our websites. He is working on developing a hierarchy of our posts. To extend advertising for our Chapter he can obtain approximately 3000 views for $50.00. A motion was made by Mary Beth and seconded by Burnell to budget $50.00 for advertising events on Facebook. Discussion as to whether our Substitute list should be password protected? Is it being used for recruiting tool.

Old Business: The AGO car stickers will not be transparent.  They will go out with the yearbook or OPUS.

Mark talked with John V. re: Quimby Competition to let him know our programs are booked for this year but asked him to consider our Chapter for Spring of 2019.

New Business: The King of Instruments show needs sponsors. Suggestions included promoting Parishes and/or parish events, birthdays.  The cost is $150. per episode for 2 announcements; $80 for half an episode-one announcement.

Discussion on the listing for Open Positions on our site. The posting duration time may need specific guidelines as to: how long it will be posted, notification when position is filled; expiration date.  Dawn began formalizing a motion but due to time constraints, motion was tabled.

John Hawn offered to chair another Fundraiser Event to invest in perpetuity and promoting young organists.  Suggestions included going back to the Scottish Rite. He will bring ideas back at the November meeting.

One of Nannette’s parishioners is offering a free organ to anyone interested.

Meeting was adjourned at 6:30 pm.by a motion from John and seconded by Phillip.

May 2017 – Avis Blewett Award Ceremony and Installation of Officers; Kirkwood United Methodist Church; Guest speaker-James Thomashower, Executive Director of AGO

June 1, 2017 – State on-line Registration for Charter Number is due.

June 30, 2017 – Refile Tax Exempt forms 990-N

June 30, 2018 – Revision of Operating Procedures

Tabled Motion pending November Executive Board Meeting 

The Chapter Placement process will include publishing requested job listings in the OPUS newsletter and on the chapter website, and through online media as appropriate.  The requesting organization will be asked to contact the Placement Director when the position is filled. All listings will expire 60 days (2 months) after original posting unless renewed by the listing institution.
