Call to Order: Dean Dawn Riske called the meeting to order at 5:30 pm.
Review of the Minutes: A motion was made by Brent and seconded by Suzanne to approve the minutes with revisions to be made on the subdean’s report to reflect the costs and flyer information. Minutes, with changes, were unanimously approved.
Treasurer’s Report: Due to a major event at the Cathedral, Dennis was not able to attend meeting but sent a condensed report with details to be sent later and approved at the next meeting. The Fidelity Trust account is solvent. The Special Activities account has $5000. Dues income is $3,596.50
Dean’s Report: Many Kudos to committee chairs and committees for a great start to the year with many activities and an increase in Media and Communications. The Kickoff event had great variety and a good turnout. The yearbook is out early. The Vimeo Spot is posted. Our website looks great. We are on Facebook with Rene making good choices on what is posted. OPUS printing and mailing happened smoothly. The AGO North Central Regional income funds are sitting in a non-interest bearing account. We will be looking into the best use and maintenance for the fund. Dawn posed the question: “How do we, as a chapter, direct our energy wisely?”
Sub-Dean Report: Mark reiterated Kudos to the organizing committee for the first event, the Psalm Fest, the year’s program flyer turned out splendid. A place to stay is needed for Dr. John Schwandt, the November 6th program artist. Originally, Mark was to host him, but he has not moved yet and therefore needs to provide alternate lodging for him. He’ll be arriving November 4th and staying through November 7th. Brent will help transport him and look into lodging possibilities. It was agreed to provide hotel accommodations for the stay.
Registrar: Brent reported we have a few additional new members and that the Directories are printed and mailed.
OPUS Newsletter: The January issue had one of the smoothest set-ups and publication. December 15th is the deadline for the January issue.
Social Media Coordinator: https://www.facebook.com/agostlouis. 294 Likes on Facebook- before the convention there were 180. We are reaching out and being noticed more. Rene will be creating an event calendar and pages to publicize the events for our Facebook site. He sees a need to create a document on “How to use Facebook” for all. Rene asked that we go to Facebook and click on “Like” and to invite friends to join St. Louis AGO Facebook. He reported on the use of funds given to him to advertise on Facebook – $20/event. He reported on likes, views, RSVP’s. This year’s opening event reached 5013 with 10 RSVP responses (advertising cost of $40.04 — $4.00/RSVP). AGO Video Views reached 3361 people at a cost of $10.00 and had responses from 1281 – less than a penny/response. The October 19th new organ presentation reached 1388 and 2 RSVP’s- Advertising Cost $10.00 – $5.00/response. AGO Member A. Zahorski used the service offered to our members to publicize an event on “Expressions and Prayers.” Andre gave additional funds to support the publicity. 5400 were aware of the Abbey event and the event reached 7932 viewers with actions from 3,812 viewing. The cost was $60. – 2 cents/view. Other events: Mystery pipes reached 30 people; Paul Jacobs reached 890.
New Business: Publicity liaison, has asked to be replaced. Norbert Krausz has agreed to take the position. If anyone would like to write an article on an event, at any time, let Norbert know. Martin Jean, Director of Music at the Institute of Sacred Music, Yale University, sent a request that our chapter lend its name to Yale’s outreach program to help churches support local music education. Yale will stage workshops and other supporting mechanisms over the next 3 years to alert parishes to their programs and resources. The chapter would be a local sponsor and give them space in OPUS. No financial support is needed. Mark motioned that we lend our imprimatur to the Parish Based Music School through Yale. It was added that we include a liaison in all publicity that is issued from Yale. Stephen seconded – all approved. National AGO has requested that, in 2017, the chapter do either a January Jubilee or Pipe Organ Encounter/Encounter Plus. A suggestion was made to do a one day event in January and publicize one of the above as an upcoming week-long event in June or July. Dawn will check with Marilyn on January Jubilee dates. The convention funds need to be specifically designated and placed into an interest bearing account. Brent motioned that we officially designate a Finance Committee Chair who will then organize the Finance Committee. Their first task would be to plan use and maintenance of the funds. Mark seconded the motion — all approved. All Finance Committee proposals will be brought to Executive Board for approval. Discussion suggestions included: Mike or Jeff; appoint someone from Executive Committee as contact person who would bring the information to the Board.

May 16, 2016 – Avis Blewett Award ceremony and “The True Story of Cinderella”; Dinner at 6:30; Presentation at 7:30. Grace Episcopal

2016 – Review of Operating Procedures for 2017.
